Progress Report #4 - December 29 - Arisia 2023

Are You Ready?

We are super close to seeing one another in person at Arisia 2023, which is taking place January 13-16, 2023 at the newly renamed Westin Boston Seaport District Hotel. In this PR issue, we are bringing you registration updates, Covid policy reminders, packing tips (including low-scent ideas), hotel cancelation dates, and more!.

Covid-19 Vaccination Policy
Arisia will be following CDC recommendations regarding what constitutes being up to date for COVID vaccinations. As of October 2022 the CDC guidance states that a person is up to date if they have received a primary vaccination series and the most recent (bivalent) booster recommended by the CDC. We also recommend testing with a rapid antigens test (RAT) prior to attending, during, and after the Con. Anyone who tests positive prior to con should follow doctor and/or CDC guidelines for isolation. If you test positive during the convention, please inform Safety. If you need a test, please ask Safety.

All boosters must be obtained by December 31, 2022 to be effective in time for the convention

Arisia 2023 attendees will be required to present proof of vaccination to attend.  For information on how to submit your vaccination record, please visit the vaccination verification page.  Doing so online will speed up the process of picking up your badge at the convention.

Remember, you will not be able to participate in Arisia 2023 in person if you are not vaccinated. Forging proof of vaccination will be considered a Code of Conduct violation. For questions or concerns about your own vaccination status, please contact our vaccination verification team

Registration Rates Increase January 1, 2023

Make sure to lock in your $65 weekend registration rate by going online and registering before 1/1/2023. Rates increase by $10 for adults once the calendar turns the page to January.
  • $75 as of 1/1/2023
  • $35 - students (students age 13-25 with a valid student ID)
  • Free - Kid-in-Tow must be with a paying attendee at all times.

* These rates are for:

* Full memberships and FastTrack memberships (for children between 5-12 years of age).

Fast Track is a separate track of program items geared specifically for children aged 5 to 12 years.

Arisia is once again participating in the Massachusetts Card to Culture program. Card holders can register to attend Arisia 2023 at no cost to them. Email Registration to find out how!

Hotel Reservations
 

Reservations for the Westin Boston Waterfront are still available. You can find hotel info on our Web site, and we have a hotel information FAQ. You have up to 72 hours before Con to cancel your reservation.

Access Needs

The Access Division is here to make sure every Arisia attendee is able to have a great experience at the con! We are happy to announce that we will have Assistive Listening Devices (ALD) available in the main events room throughout the con this year, in lieu of our traditional live captioning (CART) for the Masquerade only. Details on how to request an ALD will be available closer to the con. 

Access is also looking for volunteers for the following roles: an Assistant Area Head to assist the Access head on tasks prior to and at the convention. As well as a Tactile Tour Docent to administer Arisia's annual Art Show Tactile Tour.

Arisia’s schedule includes hundreds of happenings featuring our panel participants, workshop organizers, and event coordinators. The schedule page will be live-updating once the program is determined and will let you search for happenings by title or location. Here’s a few highlights:

Food

For your caffeine fix, the Starbucks in the hotel lobby will be open from 6:30am-10pm all weekend. Con Suite will be monitored and restocked with snacks and drinks until midnight Friday-Sunday. Don’t forget, hotel rooms have fridges where you can store food & beverages.

Packing Tips

Attending a 4-day convention requires a solid packing plan, right? So here’s a few suggestions our volunteers and staff wanted to share:

- Masks! All attendees must wear masks unless in designated eating areas or their own hotel room. KN95, N95, or KF94 masks are preferred to surgical masks. Note: a minimum of surgical mask is required.
- Covid-19 rapid tests. Testing prior to, during, and after the convention helps mitigate the chances of spreading Covid-19 among attendees.
- Personal humidifier. The hotel tends to be dry as all get out, and personal humidifiers are getting smaller and often run on just a bottle of water
- Warm clothes cause it’s winter in New England. But we tend to dress in layers, as some rooms are warmer than others, so variety is helpful for indoors
- Bathing suit(s) and a towel
- A variety of shoes - slippers, boots, flipper floppers…shoes!
- Ear plugs & eye masks for comfy sleeping
- Prescription meds, maybe even extra! There’s a CVS pharmacy nearby, but you may wanna bring some extra stuff like anti-inflammatories, tummy settlers, etc
- Reusable water bottle with your name on it
- Cash for tips 
- A single-clip lanyard if you are using one (our badges have changed size!)
- Device chargers & bricks
- low-scent products (lotion, shampoo, soap) to support attendees with scent-related allergies and sensitivities
